  • As a Procurement Associate, I report to Procurement Specialist with responsibility for the Supply management. The role of this post is to provide procurement support services to the Unops DRC Multi- contry office all program sections and zonal offices respectively. And my main responsibilities and deliverables are :
  • Timely review of the received purchase requisition on SAP (One Unops): Activities:
    1. Upon receipt of purchase requisitions (PR) the document to be reviewed.
    2. Reduced TOR to be reviewed for the required services deliverables and specifications, delivery time, budget availability and if it is within the procurement plan.
    3. Delivery time to be checked, and if we have an LTA for the requested service or to select the modality of solicitation document RFP/ITB/RFQ.
  • Preparation of Solicitation document and evaluation of bids on SAP (eSourcing):
    1. After receiving authorized PR or approved TOR for services, check if LTA or other modalities of procurements are available and if not to prepare solicitation documents, i.e. ITB, RFP and RFQ depending on the nature of requirements.
    2. solicitation documents to be reviewed, released and signed by authorized officers
    3. Advertisement of ITB/ RFP or RFQ on In-tend/UNGM and Bizcongo websites.
    4. Pre-bid meetings to be organized and conducted based on requirement of the service or work
    5. Bid opening to be conducted and the bid opening committee to be assisted.
    6. After opening, the bids to be evaluated by a committee or the tabulation/combined technical and financial evaluation to be prepared.
    7. Conducting performance evaluation of the suppliers.
    8. If the amount of procurement exceeds CPC ceiling or LTA is required, to prepare CPC submission with all required supporting document.
  • Sourcing, Developing and Updating of Procurement Suppliers rooster & short listing of potential Suppliers for specific purchases.

    Collaborated with the ICT team to develop a Purchase Requisition Tracking system that enabled Client Units to monitor their requests and get updates promptly.
    Established Long Term Agreements for recurring purchases, which lead to reduced lead time.
